Privacy Policy

Jelao (“Jelao”, “we”, “us”) is a Discord bot and web dashboard that helps server administrators manage their Discord communities. Server administrators add Jelao to their server and configure it from the dashboard. Jelao is operated by Sean Stoves (Pennsylvania, USA). This policy explains what data we collect, why, how long we keep it, and your choices. Jelao runs inside Discord and is also subject to Discord’s own Terms and Privacy Policy.

What we collect

We collect only what’s needed to run the features a server administrator turns on.

Presence:where a server enables a live member-count channel (for example an “online members” counter), the bot reads members’ online/offline status in real time to compute the count. This is never stored.

What we don’t do: we do not read your direct messages, we do not run web analytics or send your browsing to any third-party analytics service, and we never sell your data or use it for advertising.

Why we can process it

We process dashboard sign-in data to provide the service you’ve asked for (to perform our agreement with you). We process the data a server’s features generate on the basis of the legitimate interests of you and your server’s administrators in running the community. We don’t rely on consent for the routine operation of the bot.

How we share data

These are the only outside parties your data reaches, and what each does for us:

Where data is stored

Data is stored on infrastructure we operate. Durable records live in an access-controlled PostgreSQL database. A short-lived Redis cache (cleared every few minutes) holds a recent copy of server details — member lists, channels, and roles — so the dashboard loads quickly. We also keep operational logs to run and debug the service; these can include Discord IDs, stay on systems we operate, and are kept only as long as needed. We take reasonable measures to protect all of it.

We operate from the United States (Pennsylvania), so your data is processed there. If you are in the EU, UK, or another region, that means your data is transferred to and handled in the United States; contact us if you’d like more detail on how we handle that.

Who’s responsible for your data

For data tied to a server (levels, economy, warnings, ticket messages, and the like), the administrator who added Jelao decides what is collected by choosing which modules to enable — they are the data controller, and we act as their processor. For dashboard sign-in (your Discord profile and the servers you manage), we decide how that data is used to run the dashboard, so there we are the controller. Either way, you can contact us and we’ll help.

How long we keep it

We keep records until you or a server administrator asks us to delete them — deletion requests are honored. Some data expires automatically: economy transaction history after 90 days, script-execution logs after 30 days, and past events after 30 days. Support-ticket transcripts are kept until a server administrator deletes the ticket or removes Jelao. Operational logs and the dashboard cache are short-lived.

Your rights

Wherever you live — and especially in the EU, UK, and California — you can ask us to access, correct, delete, export, or restrict the data we hold about you, or object to how it’s used. Email us at sean@seanstoves.com with your Discord user ID and we’ll handle it, normally within 30 days. EU and UK residents can also complain to their local data protection authority. We don’t sell or share your personal information.

Your choices

Children

Jelao is not directed at children. You must meet Discord’s minimum age requirement (at least 13, or older where your local law requires) to use Discord and Jelao. We don’t knowingly collect personal data from anyone under 13; if we learn we have, contact us and we’ll delete it.

Changes to this policy

We may update this policy as Jelao changes. We’ll revise the date above when we do; significant changes will be noted on the dashboard.
